A CRM built around
how the business actually works.

Customers, records, teams, summaries and onboarding were separate tasks. I brought them into a shared workflow, then kept improving it as the team’s needs grew.

The problem

Scattered records and repeated document preparation made it difficult to find information, reuse it consistently and extend the process as the business changed.

My contribution

I independently built the initial business system and continued to lead its business-facing development: translating operational needs into interfaces, fields, document workflows and iterative improvements.

How I worked

Start with the daily workflow, build something usable, collect feedback, refine the rules and verify the output. I worked with the technology partner on backend, database and security hardening.

The result

A system used in daily operations, with shared records, reusable information, reporting and document generation. The annual review recorded roughly six months of use at that point; development continued through September 2026.

Extending the customer lifecycle

I expanded individual and corporate onboarding, added structured review and reporting workflows, and connected supporting documents to SharePoint and OneDrive. Further improvements covered record lifecycle changes, download audit trails, clearer export errors and more reliable attachment handling.

Multiple-record handling and login-time role synchronisation remain open changes as of 15 September 2026. I treat a merged change and a verified production workflow as separate milestones.

Start with the operator

The Account Recognition moved from fixed rules and manual screenshots to AI-assisted extraction, reviewed text and direct image export. The improvement came from removing unnecessary steps in the real workflow.

Design for the next person

Tools are only part of the work. I also create SOPs, training checklists, templates and handover materials so colleagues can operate and maintain what I deliver.

I’m Tian Chen, and I go by Ivy. I build business systems, interfaces and automation that make everyday operations easier to manage.

My background combines computer science with management and financial economics at the University of Sydney. That combination shapes how I work: understand the business problem, make sense of the data, and turn the requirements into a practical tool.

I built GQC Australia’s official website and independently developed its initial CRM, continuing to expand the CRM as the team’s needs grew. My work spans onboarding, review workflows, reporting, document handling and automation, alongside collaboration with a technology partner on backend and security.

I work in English, Cantonese and Mandarin. Outside work, ballet and artistic swimming have been long-standing interests.

Experience beyond the CRM

Data analyst internships at OzeIT Group, China Telecom BestPay and ZhongAn Insurance developed my experience with SQL, data validation, reporting and review documentation.

For Renopilot, I developed an interactive drawing and cost-estimation frontend using TypeScript, Fabric.js and Canvas, and coordinated client feedback and team delivery.

I built an automated reporting workflow that connects data collection and comparison with scheduled report delivery to designated Lark users.

  • Automation: collect source data, render the comparison report and send the daily report through a CLI-driven Lark workflow.
  • Reliable delivery: record delivery receipts, retry failed runs and notify operators when delivery fails or only some recipients receive the report.
  • Recovery: a watchdog checks for missing valid success receipts and triggers controlled catch-up runs; delivery tracking limits duplicate sends after partial failures.
  • Business value: intended recipients receive a consistent report without someone manually gathering, capturing and forwarding it each day.

I delivered the registration workflow as a connected system, covering the customer interface, backend processing, records, attachments and deployment preparation for acbec.com.

  • Delivery: responsive frontend hosted on Cloudflare Pages with custom-domain configuration; Google Apps Script handles submissions and validation.
  • Data and files: Google Sheets stores registration records; private Google Drive folders retain photos. Email notifications connect submissions to the operating team.
  • Recovery: offline PDFs retain form data and the selected photo for staff review and controlled import. Submission IDs prevent duplicate records, while saved-data and email-notification outcomes are handled separately.
  • Business value: one registration process that includes storage, notification and a recovery route when online submission fails.

Deployment records document the public service and restricted import service. The complete production PDF import round-trip and embedded mobile-browser downloads still require final verification.
